Appointment booking by phone, without a receptionist

Callers hear real availability, pick a slot and get a confirmation, while your calendar updates itself.

The problem

Most appointments still start with a phone call, and most of those calls arrive while your team is busy with the customer in front of them. The caller waits, gives up, or books with whoever answers first.

Online booking pages help, but many customers, especially older ones and anyone calling from a car or a job site, simply want to talk to someone and be told "you're booked".

How the agent handles it

  1. 1

The agent answers on the first ring, greets the caller by name if they have called before, and asks what the appointment is for.

  2. 2

It checks your real calendar and offers two or three open slots that fit the service length and the staff member the caller asks for.

  3. 3

When the caller chooses, it books the appointment with their name, phone number and purpose, and reads the details back.

  4. 4

It sends a confirmation by SMS or email and, if you want, a reminder the day before.

  5. 5

Reschedules and cancellations work the same way, in the same call, so no-shows turn into rebookings.

Example call

  1. Caller

Hi, I need a consultation about veneers, ideally this week.

  2. Agent

Of course. For a veneers consultation we book thirty minutes with Dr. Haddad. She has Wednesday at 5:30 pm or Saturday at 11 am. Which suits you?

  3. Caller

    Saturday at 11, please.

  4. Agent

Booked: Saturday at 11 am with Dr. Haddad. Shall I text the confirmation to this number?

  5. Caller

    Yes please.

  6. Agent

Done. We'll also remind you on Friday. Anything else I can help with?

What you get

  • Every booking call is answered, including the ones that arrive during treatments, site visits and lunch
  • No double bookings: the agent only offers slots that are free in your calendar
  • Fewer no-shows thanks to automatic confirmations and reminders
  • Your team sees every booking in the calendar they already use, with the caller's number attached

Can it handle several staff or rooms?

Yes. Describe your staff, services and durations in the agent's instructions, or give it one calendar per person, and it offers the right slots.

What if the caller wants a time that is taken?

The agent says so and offers the nearest free alternatives. It never books over an existing appointment.
