Appointment reminder calls that fill the slot when someone can't come
The agent calls tomorrow's appointments, confirms or rebooks, and frees the slot for the waiting list when a customer cancels.
The problem
SMS reminders are cheap and widely ignored. A no-show still costs the full slot, and the receptionist only learns about it when the chair sits empty.
Phoning everyone the day before works, but nobody has the hours.
How the agent handles it
- 1
Each afternoon the agent reads tomorrow's appointments from your calendar and calls each customer in their language.
- 2
It confirms the time and location, answers preparation questions, and offers to reschedule if the customer hesitates.
- 3
Cancelled slots are offered to your waiting list, by call or message, within minutes.
- 4
The calendar is updated and your team starts the day knowing who is actually coming.
Example call
- Agent
Hello, this is Bright Smile Dental reminding you of your cleaning tomorrow at 2:30 pm with Dr. Lina. Does that still work for you?
- Caller
Oh no, I have a meeting then. Can I move it?
- Agent
Of course. Dr. Lina also has tomorrow at 5 pm, or Thursday at 10 am.
- Caller
Thursday at 10.
- Agent
Moved to Thursday at 10 am. Your 2:30 tomorrow is released. See you Thursday.
What you get
- No-show rates cut, often by half, compared with SMS alone
- Cancellations turned into rebookings in the same call
- Empty slots refilled from the waiting list automatically
- A confirmed schedule on your team's screen each morning

At the time you choose, for example between 4 and 7 pm the day before, and never on days you mark as quiet.
What if the customer doesn't answer?
The agent retries once and sends an SMS with the appointment details and a number to call back.
Can the customer confirm by pressing a key?
They simply say yes. The agent understands natural replies in English and Arabic, including "yes, but can I come ten minutes late".
